Inside a Wedding Day Timeline: How Dusk to Dawn Events Keeps Every Detail on Track
Meet Cassidy Dawn, the owner and lead planner of Dusk to Dawn Events. Bringing nearly a decade of experience in the wedding and events industry, Dusk to Dawn serves couples throughout Virginia, Maryland, and Washington, DC, offering Full-Service Planning, Custom Planning Packages, and Coordination & Event Management tailored to each couple’s unique wedding needs.
Dusk to Dawn knows that wedding planning isn’t one-size-fits-all. Each wedding celebration is thoughtfully planned and curated to reflect the couple’s vision, beliefs, and love story.
Cassidy’s foundation in floral design and experience as a banquet manager have given her extensive knowledge of the logistics, operations, and behind-the-scenes details that make a wedding run smoothly.

Here are some of the events and details you may not see that Dusk to Dawn handles to make your wedding day seamless:
60 Days Prior to the Wedding
With all levels of support, Dusk to Dawn offers a minimum of 60 days of planning assistance to their couples. To kick off the coordination process, they schedule a check-in meeting and a series of worksheets to gather all the details of the wedding planning completed so far.
Dusk to Dawn uses that information to begin building the couple’s wedding day timeline and the documents that will be used throughout the wedding day. The team also reaches out to all vendors to gather arrival times and logistical information.
30 Days Prior to the Wedding
A month out, Dusk to Dawn conducts the final walkthrough with the venue team and catering manager. This is the time when the planners review all logistics and collect any remaining details for the big day.
Following the walkthrough, Dusk to Dawn meets with the couple to review the timeline, answer questions, and ensure every last detail has a plan before wedding week arrives.
1 Week Prior to the Wedding
This is when things kick into high gear for the Dusk to Dawn team. They review the finalized timeline internally, assign tasks and responsibilities, and distribute final documents to all wedding vendors to ensure everyone is working from the same game plan.
Behind the scenes, the team is packing emergency kits, confirming details, and double-checking everything. Their goal is to solve any problems before the couple even knows they exist.

The Day Before the Wedding
This day is all about preparation and peace of mind. Dusk to Dawn leads the ceremony rehearsal, helps organize decor deliveries, and answers questions from vendors, family members, and the wedding party. They also keep an eye on the weather and confirm any backup plans as needed.
The night before, everyone knows where they need to be, allowing the couple to head into their wedding day feeling excited and comforted, knowing the Dusk to Dawn team has everything taken care of.
The Morning of the Wedding
While the couple is getting ready, Dusk to Dawn is hard at work. Their Wedding Party Attendants are there to support the wedding party throughout the morning, helping with deliveries, gifts, and all the little things that inevitably pop up.
The Lead Coordinator oversees all vendor arrivals and setup. They are there from the first vendor check-in to ensure everything is coming together exactly as planned.

Before the Ceremony
As the setup is wrapping up, Dusk to Dawn begins final checks, inspecting the ceremony space, signage placement, and ensuring all details are ready before guests arrive.
They also connect with the DJ, musicians, and key vendors to review ceremony cues and timing. Though it may seem like a small detail, this is what helps the ceremony feel effortless.
Right Before the Ceremony
These moments are full of emotion and, sometimes, a little chaos. Dusk to Dawn uses this time to line up the wedding party and confirm everyone knows their cues. They also ensure the rings are in the proper place and that vow books are where they need to be.
Once everyone is seated, all flowers have been distributed, and all wedding vendors are ready, they cue the officiant, and it’s officially ceremony time.

During the Ceremony
While the ceremony is taking place, the Dusk to Dawn team is busy behind the scenes. They cue entrances, communicate with vendors, and keep an eye out for anything that could interrupt the ceremony.
Once the ceremony ends, the team guides the couple, wedding party, and family members to their next location to keep the timeline moving smoothly.
Cocktail Hour
Dusk to Dawn encourages couples to build time in their day for quiet moments into their timeline. This is often the first chance the couple has had all day to simply be married. Dusk to Dawn brings appetizers and drinks to them so they can celebrate together and soak it all in.
In the meantime, the Dusk to Dawn team puts the finishing touches on the reception space. This can include overseeing a room flip or conducting final checks to ensure everything is picture-perfect before the couple sees the space.
During the Reception
This is when the team focuses on upcoming events and coordinates with the DJ, photographer, videographer, caterer, and venue team to ensure entrances, toasts, dances, and special moments happen at the right time.
The Dusk to Dawn team serves as the central point of contact for the evening. Their goal is to ensure the couple can focus on celebrating with family and friends while enjoying every moment of their wedding day.

After the Reception
As the night comes to a close, Dusk to Dawn coordinates the grand exit and helps ensure everyone is where they need to be for final photos and moments. Once the couple departs, the team shifts its focus to breakdown and load-out.
They oversee vendor departures, pack decor and personal belongings, and ensure gifts, cards, and other important items leave with the correct people.
Before Dusk to Dawn leaves, they complete a final walkthrough with the venue to ensure nothing has been forgotten or left behind.
